Annual General Meeting

Date For the Diary!! 

 

Our Annual General Meeting is due to take place on the 16th of August 2026 at 18.30 in the Fife Lodge hotel. We would love for as many members/parents/stakeholders to be in attendance as possible so you can have your say and be part of shaping the future of the your community club. At the AGM we will have a report from the existing Chairman and will provide annual accounts to be approved. As per our constitution, we will then elect/re-elect existing or new charity trustees on to the committee. We will also discuss membership fees and discuss any other business as appropriate.  

 

If anyone would be interested in joining the committee in our fantastic club, then please get in touch with John McLeay (07581534275) or Jillian McBain for more information. Below is a short description of the roles that we will be looking to fill: All positions will be available for election/re-election on the night. 

 

Chairperson: 

- Leads and maintains the club's vision, culture, and long-term plans/goals.  

- Chairs committee meetings and the Annual General Meeting (AGM). 

- Ensures the club adheres to Scottish football association rules, safeguarding policies, and constitutional guidelines. 

- Provides direction to other volunteers. 

 

Vice Chairperson: 

- Assumes all duties and responsibilities of the chairperson when they are unavailable. 

- May lead specific club initiatives, such as facility upgrades, tournament planning, or funding bids. 

- Assists the chairperson in ensuring the committee adheres to club rules, safeguarding, and football association regulations. 

- Acts as an objective sounding board for committee members and helps resolve internal disputes or grievances. 

 

Secretary: 

- Handles annual club/league registrations and/or affiliations. 

- Assists Team managers with player/coach registration 

- Acts as the primary point of contact for incoming mail, league fixtures, and external discipline queries. 

- Manages My Club hub and ensures up to date records are kept for players and coaches. 

- Maintains up-to-date records of club policies, contact lists, and constitutional documents. 

 

Treasurer: 

- Oversees the club's bank accounts, tracks income, and pays invoices and b

- Creates annual budgets and estimates costs. 

- Manages the collection of player registration fees and monthly subscription

- Prepares regular balance sheets for committee meetings and presents the year-end financial report at the AGM. 

 

Child Protection Officer: 

- Acts as the primary point of contact for all youth safety, abuse, and well-be concerns. 

- Oversees background checks (PVG), for all coaches and volunteers.  

- Implements and updates the club’s safeguarding and child protection policies in line with Scottish Football Association regulations. 

- Ensures all club officials, coaches, and volunteers complete mandatory safeguarding and first-aid training. 

- Refers any safeguarding allegations or welfare complaints directly to the county football association or local authorities. 

 

Football Development Officer: 

- Oversees and recruits, mentors, and supports volunteer coaches to improve training quality. 

- Ensure groups have the right equipment and access to facilities for training/matches. 

- Establish a club-wide playing philosophy and age-appropriate coaching. 

- Identifies coach education needs and organises SFA coaching courses and qualifications where appropriate. 

- Help to develop clear pathways for player progression from youth teams into adult football. 

- Builds links with local schools and community groups to recruit new players and share expertise knowledge. 

 

Kit Person: 

- Liaises with kit provider (Direct Soccer and Justrite), to order coaches kit and new team kits and replacements. 

- Manages the allocation of training gear to coaches. 

- Coordinates with lead coaches to ensure sponsor logos are correct. 

- Ensures development teams have adequate equipment for training and matches. 

 

Minutes Secretary: 

- Coordinates with the chairperson and secretary to distribute agendas and previous minutes ahead of meetings. 

- Records meeting attendance, apologies for absence, and ensures a quorum is met for voting. 

- Takes clear, objective notes during committee meetings and the Annual General Meeting (AGM). 

- Documents specific tasks assigned to committee members, including deadlines and responsible parties. 

- Drafts, formats, and circulates the finalized minutes to all committee members for review and approval. 

 

Head of Girls Football: 

- Drives initiatives to recruit new female players, coaches, and volunteers to the club. 

- Oversees the running, league registrations, and fixture coordination for all girls' age groups. 

- Mentors and supports coaches working within female football, encouraging the recruitment of female coaching role models. 

 

Lets Coordinator: (A new role at the club suited to an enthusiastic person with great organisational skills.) 

- Secures contracts and block-bookings for grass pitches, 3G/4G artificial surfaces, and indoor training halls with local councils, schools, or private providers. 

- Manages schedule to fairly distribute training nights and weekend match slots across all club age groups and teams. 

- Reviews and approves facility hire invoices, working closely with the club treasurer to ensure accurate payments. 

- Coordinates alternate venues or handles cancellations with lead coaches and facility providers due to bad weather, cup fixtures, or winter schedule changes. 

 

We are also proposing to make a number of small changes to our constitution at the AGM. The proposed changes are highlighted in yellow in the documents section on MCH under the title, "Deveronvale Community Football Club Constitution Aug 2026 Proposed Revisions". In summary these are:  

- The addition of our community hub to our purpose and functions. 

- Variation on the wording for the how membership and registration fees are paid. 

- An addition to allow the committee to be able to appoint an advisory board to aid the development of the club.

 

The club are actively pursuing a potential asset transfer of Canal Park and for this to happen we need to appoint an advisory board. This needs to be stated within our constitution, hence the change to add this at the AGM.
